Who we are

TOP Lawn and Outdoors, LLC, doing business as TOP Commercial Landscaping and Irrigation (“TOP,” “we,” “us”), operates this website (topcomlandscape.com), the Top Lawn+ client portal (portal.topcomlandscape.com), and an internal operations application (erp.topcomlandscape.com). This policy covers all three.

Information we collect

Website. If you submit a bid request or contact form, we collect the information you provide: name, organization, email, phone, and property details. We do not run third-party advertising trackers.

Client portal. Portal accounts are provisioned for community and property managers we work with. We collect sign-in credentials (managed by our authentication provider, Clerk), and we maintain records of the properties we service: work orders, service reports, irrigation system maps, photographs of the property, and contract documents.

Operations and billing. Internally we maintain customer account records, invoices, and payment status for the associations and companies we serve.

QuickBooks Online integration

Our internal operations application connects to our own QuickBooks Online company file through Intuit’s API to create and manage customer records, invoices, and payments. Access is authorized through Intuit’s OAuth service; we do not see or store QuickBooks passwords. Accounting data synced with QuickBooks is used solely to bill for and account for our services. We do not sell, rent, or share this data with third parties, and we do not use it for advertising. The connection can be revoked at any time from the QuickBooks company’s connected-app settings, after which we no longer access the QuickBooks data.

How we use information

We use the information above to respond to inquiries, prepare bids, perform and document landscape and irrigation services, invoice for those services, and maintain our own business records. We do not sell personal information. We share information only with service providers that host and operate these systems (such as our hosting, authentication, database, and email providers) and as required by law or by our contracts with the associations we serve.

Retention and security

Service records are retained for the life of the client relationship and as needed for legal, accounting, and warranty purposes. Access to the portal and operations application is restricted by authenticated accounts, and data is transmitted over encrypted connections.
